The Social, Community, Home Care and Disability Services (SCHADS) Award is widely considered one of the most complex modern awards in Australia. With multiple employment types, daily allowances, broken shift rules, and weekend penalties, processing payroll manually is a significant risk.
Under the Fair Work Act, the financial and reputational penalties for non-compliance are severe. Here are three common payroll mistakes NDIS providers make and how to prevent them.
1. Incorrectly Calculating Broken (Split) Shifts
A broken shift is one where a support worker has a gap of unpaid time between care visits on the same day (for example, a morning support shift followed by an afternoon shift, separated by 3 hours).
Under the SCHADS Award, providers must apply specific rules:
- Workers are entitled to a broken shift allowance (which varies depending on whether they have one or two breaks in the day).
- The total span of hours cannot exceed 12 hours. If it does, overtime rates must be paid for the excess hours.
- Travel time between these split shifts must often be counted as time worked.

2. Missing Allowance Injections (First Aid & Laundry)
Disability support workers often qualify for multiple daily or hourly allowances that must be added to their base pay:
- First Aid Allowance: Must be paid to employees required to hold a first aid certificate and perform first aid duties.
- Laundry Allowance: Applicable if the worker is required to wear a uniform that needs laundering.
- Travel Allowance (KM): Paid for travel during shift hours when transporting participants or travelling between client locations.

3. Misapplying Weekend and Public Holiday Overtime
SCHADS award rates vary heavily depending on the day and time worked:
- Saturdays: Earn 1.5x ordinary rate.
- Sundays: Earn 2.0x ordinary rate.
- Public Holidays: Earn 2.5x ordinary rate.
If a shift spans midnight (e.g. starting Sunday night and ending Monday morning), providers must apply the correct rate to the respective portions of the shift. In addition, when casual staff work overtime, they are entitled to casual loading stacked on top of overtime rates in specific proportions.
